What documents do you need to transfer an ISO certificate?

IAF Consultancy

A transfer review is a reading of the certification you already have. The documents are the evidence. When they are complete, the quote can stay a transfer. When they are missing, accredited bodies treat the company as a new client, and the quote changes.

Which records should you pull before you apply?

  • The current certificate, including the scope statement, the sites, the standard, the issue date, and the expiry date.
  • The accreditation mark and the name of the body that issued it.
  • The most recent certification or recertification audit report.
  • The latest surveillance report, and the date the next visit was planned.
  • Every open nonconformity, with the correction and the evidence already sent.
  • Complaints that touched the certified system since the last audit, and what was done.
  • Any letter that suspends the certificate, changes the scope, or warns that suspension is being considered.

Keep your own copies. The review can ask the current certification body for its file, and you will be asked to authorize that request. Your copies let the quote start before that correspondence finishes. The order of that conversation is in when to tell your certification body.

What do the reports need to show?

The accepting body needs enough of the last cycle to see that surveillance happened when the programme said it would, and that major findings did not sit open. A certificate PDF with no reports behind it is not enough to transfer. A surveillance visit that never happened moves the company onto the initial-certification path, described in transfer or start over.

For a multi-site certificate, the reports should show which sites were sampled. A site the programme never reached is a scope question. That case is in multi-site transfers.

How does this change the quote?

The application records the standard, the scope, the headcount, the shifts, and the sites. Choose Transfer from another body. Those facts let IAF Consultancy write an offer. The documents above let the offer stay accurate.

The offer names the scope, the timing, and the price before a visit is booked. Where the file is enough, the work stays a review. Where the file leaves a hole, the offer names the visit, or it names Stage 1 and Stage 2. You see which one it is in writing. IAF Consultancy reads the file and audits where an audit is required. SMG issues the certificate. The checks inside the review are in what a pre-transfer review checks.
